Marketing Project Manager

With nearly 300 attorneys, Barclay Damon is a leading law firm that operates from a strategic platform of offices located in the Northeastern United States and Toronto.

We are currently seeking a qualified candidate to join the Marketing Team as a Marketing Project Manager responsible for leading, measuring, and reporting on all aspects of the department’s project workflow management and to assist as-needed with conferences/sponsorships/events, promotional materials, and other administrative duties (i.e., marketing expense processing, etc.).

RESPONSIBILITIES:

Project Management

  • Manage all aspects of the department’s project workload from assessing incoming requests to developing project management plans to include scope, materials needs, schedule, risk assessment, and resource allocations.
  • Coordinate activities of the project teams, track all live and pending projects, and engage in regular follow-up with department and firm contributors to ensure marketing project objectives  are met on time, within budget, and with quality.
  • Create and maintain a marketing content calendar; collaborate with key stakeholders to contribute marketing activities to firm-wide calendar of events to ensure there is no overlap with other initiatives.
  • Maintain marketing project management database, analyze project data to identify key internal customers and utilization themes, and compile reports to assist in determining ROI on business objectives across all projects.
  • Regularly communicate with department director and escalate concerns as-needed.

Conference/Sponsorship Management

  • Collaborate with Marketing Event Manager to map firm participation in key conferences and speaking engagements throughout the year to identify what is happening when and manage development of required materials, and logistics for on-time delivery.
  • Collaborate with attorneys and marketing department to brainstorm materials needs and manage expectations for ability to execute within time constraints.
  • Record agreements, roles, responsibilities, and timelines, and follow-up with all stake-holders to ensure on-time delivery; manage shipping and returns of all materials, as-needed.

USLAW Network Relationship Management

  • Collaborate with internal USLAW team to gather and deliver key firm information as-needed.
  • Schedule bi-monthly internal USLAW team update meetings.
  • Participate in regular USLAW Marketing Director meetings with Marketing Director.

Promotional Material Management

  • Work with firm’s promotional material vendors to fulfill all firm requests.
  • Work with Marketing Event Manager, firm leadership, PA chairs and attorneys to order items for conferences, events, and sponsorships while working within budgets.
  • Coordinate materials shipping/receiving for conferences, events, and sponsorships, etc.
  • Manage all firm-branded materials logistics (i.e., pop-up banners, tablecloths, etc.).

Other

  • Process marketing expense requests with Accounting department.
  • Other administrative duties, as-needed.

SKILLS:

  • Must be organized and have a sense of urgency/time management with the ability to work on multiple projects simultaneously and meet deadlines in a fast-paced environment.
  • Ability to prioritize while remaining flexible to adjust to new situations as they arise.
  • Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Proficiency with project management software tools.
  • Superior attention to detail and ability to maintain a high level of accuracy.
  • Excellent verbal and written communication skills, along with exceptional listening skills.
  • Strong critical thinking, persuasion, and problem-solving skills, bringing a solutions-oriented mindset to everything done; must grasp business processes, priorities, and goals.
  • Ability to self-motivate, take initiative, take ownership of projects, and work with minimal supervision.
  • Excellent interpersonal skills with ability to establish credibility and maintain positive relationships across all levels of key stakeholders (i.e., attorneys, admin staff, vendors, etc.).
  • Exceptional business etiquette, exhibiting diplomacy and grace under pressure, and an ability to productively and tactfully manage conflict.
  • High standard of integrity with an ability to handle sensitive, confidential information.
  • Willingness to contribute original ideas and suggestions in group settings.
  • Ability to take in and act on constructive criticism.
  • Have a collaborative, creative, and flexible work style.

  • Go above and beyond on simple requests to make things easier on others.
  • Flexibility to work overtime; travel between offices as-needed (2x/year for department offsites, firm event and conference/sponsorship support as-needed, etc.).

EDUCATION/EXPERIENCE:

  • Bachelor’s degree or equivalent combination of current work experience and education in relevant field (i.e., marketing, finance, information systems, etc.).
  • CAPM or PMP or PMI-SP certification (or equivalent coursework/training) preferred.
  • Minimum 2-1/2 years’ experience in leading and directing projects.
  • Professional services firm experience a plus (i.e., legal, accounting, financial services, etc.).
